MARKETING COORDINATOR

Marketing Coordinator Job Description

  • Overall
    • Market Signature Events by developing and implementing marketing, communications and advertising campaigns
    • Must be a self-starter and able to independently move projects forward, prioritize tasks, and meet deadlines
    • Thoughtfully manage each Signature Event’s messaging, communication and brand
    • Coordinate ticket launches across multiple platforms and partners
    • Manage overall communication plan to followers and ticket buyers
    • Track ticket sales data and demographics 
    • Oversee Marketing budget and utilize paid and organic methods to sell tickets to Signature Events
    • High level of creativity
    • 6-10 weekends on site for event required, additional compensation based on days worked on site
  • Manage Social Media Channels (Facebook and Instagram) for Signature Event platforms
      • Organic post schedule
      • Paid advertising
      • Manage sponsor posts on Event platforms 
  • Coordinate all advertising/media placement (both trade and purchased) for each Signature Event
      • Print ads
      • Digital ads
      • Trade media partners 
  • Manage Mass Communications
      • Create and send all communications to past and current ticket buyers with segmented messaging
      • Avg 6-12 eblasts per event to various dbase segments including ticket launch announcements, programming communication, surveys, need to know etc.
      • Manage sponsored content in Signature Event email blasts 
  • Customer Service & Ticket Liaison
      • First point of contact for incoming Signature Event questions via email, social media, and phone
      • Manage transfer and refund requests, including any ticketing questions 
  • Assist with overseeing marketing & media contractors 
      • PR – Feeding accurate information and features ideas about each Signature Event 
      • Event photographer – booking, shot list, video/photo needs 
      • Graphic Designer – work work graphic designer on posters, advertising, maps, and any branded assets needed 
    • Manage content updates on TPP and Signature Event websites
    • Order and manage branded Signature Event assets (signage, maps)
  • On Site at Events
    • Live posts/streaming from event site highlighting the festival and it’s partners 
    • Assist with check in and ticket troubleshooting as appropriate

Qualifications / Skills:

  • Firm grasp on various marketing platforms, channels, and best practices, including social, digital, and email marketing
  • Solid knowledge of website and marketing analytics tools, WordPress preferred 
  • Working knowledge of ad serving tools in Meta and Google 
  • Experience in email communications platform (Mailchimp, Constant Contact)
  • Ability to create small scale branded graphics as needed (Canva, Indesign, Illustrator) 
  • Experience in social media campaign management tools (Socilpilot, Hootsuite)
  • Excellent customer service experience
  • Event experience not required 

Education and Experience Requirements:

  • Bachelor’s degree in marketing or a related field
  • Proven working experience in digital marketing, 1-3+ years of experience
  • Demonstrable experience leading and managing SEO/SEM, marketing database, email, social media and/or display advertising campaigns
  • Highly creative with experience in identifying target audiences and devising digital campaigns that engage, inform, and motivate

Event Coordinator Job Description

Overall

  • Utilize team resources to creatively solve problems
  • Exceptional work ethic in highly seasonal industry  
  • Leadership and management role in a small team setting 
  • Strong communication skills with internal and external team members 
  • Maintain event budgets and planning documents 
  • Critical evaluation and attention to details
  • Strong ability to multitask and work on several events/projects/partners simultaneously
  • Establishing and maintaining quality relationships with partners (vendors, partners, clients)
  • Organization of tracking bills and invoices 
  • 6-12 weekends on site for event required, additional compensation based on days worked on site

Wine Festival Coordinator 

  • Report to Event Director and Wine Director 
  • Recruit restaurant partners to host events for 20-40 guests during wine festivals 
  • Collect and manage LOA/BEO from restaurant and winery partners 
  • Collect and design menus in Canva 
  • Collect assets from winery and restaurant partners including LOA/BEO, food menu, wine list, marketing assets
  • Track and manage payments for all partners 
  • Manage guest lists and communication
  • Manage equipment needs for partners and speakers including AV, glassware, and printing
  • Creative brainstorming and problem solving with wine festival team
  • Miscellaneous other duties as pertain to the wine festival program (4-6 festivals annually)
  • Required to be on site for Vail Wine Classic, Breckenridge Wine Classic, Park City Wine Festivals etc
  • Working wine knowledge encouraged, but not required

Qualifications / Skills:

  • Firm grasp on Google Drive platform including Google Sheets and Google Docs
  • Preferred knowledge of Monday.com or comparable program 
  • Demonstrable written and verbal communication skills 
  • Ability to create small scale branded graphics as needed (Canva or comprable program)
  • Excellent customer service experience

Education and Experience Requirements:

  • Bachelor’s degree in Communications, Hospitality, Managment/Business or a related field
  • Proven working experience in event production/planning, 1-3+ years of experience
